Roles & Permissions

Manage user roles and their permissions within your organization.

Who can access this? Organization Admin

Accessing Roles Settings

Go to Settings > Roles from the settings home page.

Default Roles

Acalumi comes with five built-in roles:

Viewing Role Details

Click on a role to see its complete permission set displayed as a permission tree. Permissions are grouped by module:

  • Users - Create, read, update, delete users
  • Classes - Manage classes, rosters, timetables
  • Exams - Create, publish, assign exams
  • Questions - Manage question bank
  • Grading - Grade submissions
  • Analytics - View performance data
  • Reports - Generate reports
  • Settings - Access configuration
  • Announcements - Create and manage announcements
  • Branches - Manage branches

Each permission shows a checkbox indicating whether it is granted to the role.

Creating Custom Roles

Click Create Role to define a new role:

  1. Enter a Role Name and Description
  2. Use the Permission Tree to select which permissions this role should have
  3. Click Save

Custom roles appear alongside the default roles and can be assigned to users.

Cloning a Role

Click Clone on an existing role to create a copy. This is useful when you want a role similar to an existing one with minor differences.

Editing a Role

Click Edit on a role to modify its permissions. Changes affect all users currently assigned to that role.

Warning: Removing permissions from a role immediately restricts access for all users with that role.

Tips

  • Use custom roles for specialized positions (e.g., "Lab Teacher" with class access but no grading)
  • Clone existing roles and adjust permissions rather than building from scratch
  • Review role permissions periodically to ensure they match your institution's policies
  • The Organization Admin role cannot be modified - this ensures there is always a fully-privileged account
